Information collected
The enquiry form asks for your name, phone number or email, property postcode, job type and message. It also includes the page used and submission time for handling and spam checks. Photographs can be sent separately after we reply. Please avoid sending sensitive information, identifiable photographs of other people or details that are not needed for the enquiry.
Hosting services may process technical connection and security records, such as IP address, browser information and request times, to deliver and protect the website. We do not include names, contact details or messages in the form’s measurement event.
Why we use the information
We use your enquiry to respond, discuss the property, arrange an assessment, prepare a quotation and take steps you request before entering a contract. The lawful basis for those pre-contract steps is UK GDPR Article 6(1)(b).
We also use relevant enquiry and technical information for our legitimate interests in answering general questions, maintaining records, protecting the website and identifying spam, under Article 6(1)(f). These interests are considered alongside your rights. Sending an enquiry does not subscribe you to marketing.
Who processes it
Cloudflare provides website hosting and a secure backup copy of each enquiry. PHD Networks & Systems Ltd manages the website and enquiry handling on our behalf and receives a copy of each enquiry so it can make sure none are missed. Make (Celonis) relays the form to email, and Google Workspace provides email services for info@jlrsmith.co.uk and processes enquiry correspondence.
When you send the form, the enquiry is emailed to info@jlrsmith.co.uk, with your email address used for replying.
Service providers may process information outside the UK. Where applicable, the controller must ensure appropriate safeguards, such as an adequacy arrangement or approved contractual protections. Contact us for the arrangements relevant to your information.
How long we keep it
Enquiry information is kept for 24 months, then deleted or anonymised unless a specific legal requirement requires otherwise. Information forming part of a roofing contract or accounting record may have separate retention requirements. Ask us about the records relating to your job.
